Key Responsibilities

In this multifaceted role, your days will be dynamic and engaging. You will lead crucial administrative, clerical, and public service functions across two primary areas:

As Town Clerk

  • Guardian of Records & History: Maintain official town records, vital statistics (births, deaths, marriages), the Town Code, and the official Town Seal.
  • Community Facilitator: Administer oaths of office, manage board and committee terms, and issue crucial public permits and licenses (including marriage, dog, hunting, fishing, and recreational vehicle licenses).
  • Election & Town Meeting Leader: Plan, staff, and supervise all local, state, and federal elections. You will open Town Meetings, oversee voter check-ins, record minutes, and handle absentee ballots in full compliance with state laws.
  • Public Information Resource: Act as a helpful guide for residents, furnishing information about town government and providing simple notary services to the general public.
  • Team Collaboration: Provide essential backup support to the Tax Collector and Motor Vehicle Agent, while also providing regular administrative support to the Town Manager.


As Registrar of Voters

  • Voter Database Management: Maintain the accuracy of our voter lists by barcoding, scanning, and uploading registration cards directly into the State Central Voter Registration database.
  • Election Day Operations: Work hands-on during all elections, check in voters at Town and School Board Budget Meetings, and attend biannual caucuses.

Qualities of a Municipal Employee

  • A People-First Attitude: Exceptional customer service skills, tact, and diplomacy. You excel at actively listening, excluding personal bias, and building positive relationships with the public and colleagues alike.
  • Administrative Savvy: Thorough knowledge of modern office procedures, digital proficiency (computers, scanning equipment, and database software), and solid foundational skills in business English and record-keeping arithmetic.
  • Fiscal Responsibility: Ability to manage money and reporting while under your care. The ability to be bonded by our insurance company is required.
  • Adaptability & Precision: The ability to rapidly learn town ordinances, state statutes, and regulatory procedures while maintaining meticulous, audit-ready records.

 

Desirable Education & Experience 

  • Graduation from a standard high school, supplemented by courses or experience in accounting, business education, record-keeping, or office procedures. \
  • Current certification as a Town Clerk OR the capability and desire to achieve certification through the Maine Town and City Clerks Association.
  • A current Notary Public commission, or the ability to successfully obtain a notary certificate within 90 days of your start date.
  • Willingness to complete the required Freedom of Access training for municipal officials and maintain all necessary state certifications.
